Word and spreadsheet templates drift out of line the moment you add a row or a longer description. Here the layout is fixed and you only fill in fields, so every invoice comes out clean and consistent with the last one.

Invoice number, invoice date, due date, payment terms and a PO or reference number each have their own field, and the number goes up by one with a click, so a series stays sequential without a separate list to keep.

Each line can carry its own unit, quantity, unit price, tax rate and discount. On top of that you can add a discount on the whole invoice, as a percentage or a fixed amount, and shipping or handling costs.

Subtotal, tax total and the amount due update as you type, so there is nothing to check with a calculator before you send it. The tax rate is whatever you enter on each line, which works for GST, VAT or sales tax alike — confirm the rates and wording your own tax rules require.

Put the bank name, account holder, account number, IBAN and SWIFT/BIC on the invoice itself, so your client does not have to write back to ask how to pay. A notes field and a terms field carry anything else, such as a late-payment clause or a thank-you line.

For clients abroad there are more than 85 currencies, and the one you choose appears on every amount and on the total. Pick A4 or US Letter to match what your client prints on.
